Bilateral Agreement Student Mobility

So you're going on a Bilateral Study exchange?! Have you already decided where you're going? Well, here's a look at the process for going on an Bilateral Study exchange!

 

 

1. Step

Following the release of the current Bilateral Agreement Study Exchange call, you have looked at and selected your preferred institution where you would like to go on exchange and do part of your studies there.

As a first step, you need to submit FORM 1 (Study Abroad Application Form) to the International Relations Office at FEB. With this form, you tell us which institution you would like to go to. Don't forget, the form must be submitted by 15.3.!

FEB International Relations Office collects all the application FORMS 1 and then conducts a selection process (if needed) and they will inform you where you will be able to go on exchange! Don't worry, the staff of the International Relations Office will do their best to make sure you can go on an exchange! You will receive an email notification of your selected destination.

After you have been notified of your chosen destination, you must fill in the online application form by 30.3. at the following link: https://studentexchange.um.si/ADPrijava.aspx! Your initial steps are now complete, as the nomination to the host institution will be made by the International Relations Office and you will be informed about it.

Criteria and rules for selecting students for exchange to destinations

1. As a general rule, a student who fulfils the following conditions may go on a one-semester study abroad program.

  • The student has student status at the time of application for study abroad;
  • The student is enrolled in at least the first year of a FEB study program at the time of departure;
  • The student has passed all examinations from the previous semesters before going abroad, or meets the requirements for admission to the next year at the FEB;
  • Fulfils the foreign language proficiency requirements set by the foreign partner institution.

2. If there are more suitable candidates for a one-semester study abroad program than there are study places available, the average grade will be taken into account in the selection procedure.

3. If a student loses his/her student status in the period before going abroad, he/she must inform the International Relations Office at FEB as soon as possible, who will then find a new candidate.

2. Step

Once you are informed of the nomination, you start selecting courses at the host institution that you think could be recognized for courses at your home institution! Here you should also pay attention to the language in which the courses are taught at the host institution.

Instructions/guidance on how to select the relevant subjects:

  • For compulsory/mandatory courses at FEB, students should look for courses that have overlapping content with these courses at their host institution;
  • For area elective courses at FEB students have to find courses with overlapping content at the host institution compared to courses at FEB;
  • For free elective courses (in your curriculum book Electives course 1/2/3/4/5), students can choose any course at the foreign institution according to their own preferences and interests, i.e. they do not need to overlap in content with the courses at the home institution.

Once you have an indicative set or selection of courses at home and abroad, you can arrange a meeting with the Head of your Study Field, where he/she will confirm your course selection verbally or in writing via email. You will then prepare Form 2 (Study Abroad Program) and a Learning Agreement (LA).

The signed Form 2 and Learning Agreement ensure that your home institution recognizes the courses you have taken abroad after the exchange, so hurry up and get these forms ready!

If you would like to prepare a final thesis during your study exchange, you should coordinate with your selected mentor on the topic of the final thesis and submit a completed and signed Form 4 to the International Relations Office at FEB before your departure.

3. Step

Congratulations on completing the first two steps! Now you need to prepare all the documents required for your application to the foreign institution.

Host institution (Application process)

The host institution to which you have been nominated will inform you of their application process or you can find instructions on their website for the next step (the Application process for incoming exchange students). The application process requires you to submit to the host institution the complete application documentation and all other required certificates. In most cases, host institutions require students to submit:

  • Personal data (personal photograph, copy of passport);
  • Transcript of Records (you can request it from the International Relations Office at FEB);
  • Language Proficiency Certificate for the language of instructions at the host institution (for English and German, this can be issued by the Department of Foreign Languages at FEB);
  • Signed Learning Agreement (LA) by FEB;
  • Other (cover letter, letter of recommendation, ....)

DON'T FORGET TO CHECK THE APPLICATION DEADLINE AT THE HOST INSTITUTION!!

After you have successfully submitted your application and completed the application process at the host institution, you MUST inform the International Relations Office at FEB or send them the complete application documentation in time - at least one week before the application deadline of the host institution!

4. Step

What's left to do is buy a plane ticket, train or bus ticket, or fill up your car, pack your bags and go abroad! And don't forget to say goodbye to your friends and family, and take out extra medical insurance for your trip abroad.
